Pacific Northwest Family Law is hiring an Intake Specialist for our Walla Walla office.

This is a client-intake and sales position. The person in this role will speak with prospective clients, understand what they are looking for, explain how our firm works, follow up with leads, schedule consultations, meet with walk-in visitors, and help prospective clients decide whether to retain the firm.

The position also includes reception and scheduling responsibilities. Everyone on the intake team learns the broader sales process so they can step into different parts of the client-intake function as needed.

You do not need legal experience. We will teach you what you need to know about the firm’s services and the family law process so you can communicate effectively with prospective clients.

This Is a Sales Position

People often contact a family law firm during a difficult period in their lives. They may be uncertain about what they need, worried about cost, comparing firms, or hesitant about taking the next step.

Your job is to help them move through that decision.

That requires more than answering phones or scheduling appointments. Strong intake specialists listen carefully, identify what matters to the prospective client, explain the firm’s process clearly, follow up consistently, respond to concerns, and ask for the business when the firm is a good fit.

We measure performance in part by the number of new clients who retain the firm. This position includes an objective sales bonus tied to those results.

The bonus increases with performance. Strong performers may earn $400 or more in additional compensation during a pay period. Bonuses are based on actual results and are not guaranteed.

Responsibilities and Expectations

The Intake Specialist serves as one of the first points of contact for people considering Pacific Northwest Family Law.

Typical responsibilities include:

  • Answering calls from prospective clients
  • Responding to website and other inbound inquiries
  • Following up with prospective clients who have not yet made a decision
  • Learning enough about the firm’s services to explain the intake process accurately
  • Gathering preliminary information from prospective clients
  • Scheduling consultations and appointments
  • Meeting with walk-in visitors at the Walla Walla office
  • Explaining the firm’s process, fees, and next steps within the scope of the position
  • Helping qualified prospective clients move toward retaining the firm
  • Keeping accurate records of contacts and follow-up
  • Coordinating with attorneys and other staff when a prospective client’s situation requires additional information
  • Supporting reception and scheduling functions as needed

This is not a Traditional Legal Assistant or Paralegal Position

You will support attorneys by yheping the firm bring in and properly onboard new clients, buy you will not ordinarily:

  • Draft pleadings
  • Prepare discovery
  • Manage active legal cases
  • Perform legal research
  • Prepare substantive legal documents
  • Give legal advice

You will learn about family law because you need to understand what prospective clients are experiencing and what services the firm provides. You will not be trained to perform the technical casework assigned to legal assistants and paralegals.

If your primary goal is to work directly on legal files and develop traditional legal-assistant skills, this may not be the right opening. We hire separately for those positions when they become available.

Qualifications

  • Strong communication. You should be comfortable speaking with strangers by phone and in person, asking questions, listening carefully, and explaining information clearly.
  • Comfort with sales. You do not need to arrive as an experienced salesperson, but you must be willing to learn how to sell. This includes following up with prospective clients, addressing concerns, discussing the firm’s services and fees, and asking people to move forward when appropriate.

  • Persistence. Many prospective clients do not make a decision during the first conversation. We expect consistent, professional follow-up without becoming pushy or careless.
  • Empathy and composure. People contacting a family law firm may be angry, frightened, embarrassed, overwhelmed, or uncertain. You need to remain calm, helpful, and professional while keeping the conversation moving.
  • Comfort discussing money. Legal services can represent a significant purchase. You should be able to discuss fees, payment expectations, and the value of the firm’s services without becoming uncomfortable or apologetic.
  • Organization. The position involves multiple prospective clients at different stages of the intake process. Accurate notes and disciplined follow-up matter.
  • Professional judgment. You need to recognize the limits of your role, avoid giving legal advice, and know when to involve an attorney or another team member.

Preferred qualities

  • High Ticket Sales. Experience selling higher-priced products or services is especially useful in this role. But a strong candiate coming from rception, hospitality, customer service, or another client-facing role may also succeed if they are comfortable learning our sales procss.
  • Spanish language. Many of our clients are native Spanish speakers. Attorneys who can speak directly with those clients provide a better client experience than attorneys who must rely on translation, even though many of our legal assistants also speak Spanish.

Compensation and Benefits

$18–$22 per hour. Starting pay depends on experience, demonstrated sales capability, communication skills, and the level of responsibility the candidate can assume.

This is an hourly position of up to 40 hours per week.

Intake Specialists may earn additional compensation based on the number of new clients who retain the firm regardless of case type, value, or similar considerations.
